Reflectra – Terms of Service

Effective Date: November 4, 2025

These Terms of Service (“Terms”) govern your access to and use of the Reflectra software, website, and related services (collectively, the “Service”), operated by Tennex Meta consulting SA, a company incorporated in Switzerland (“Reflectra,” “we,” “our,” or “us”).

By creating an account, accessing, or using the Service, you agree to be bound by these Terms. If you do not agree, you may not use the Service.

  1. Overview of the Service

    Reflectra is an AI-powered journaling and self-reflection software that enables users to write journal entries, receive AI-generated insights, and visualize their progress through analytics dashboards. The Service is accessible via the web at reflectra.io and is provided by Tennex Meta consulting SA, based in Switzerland.

  2. Eligibility

    You must be at least 16 years old to use the Service. By using Reflectra, you represent and warrant that you meet this age requirement and have the legal capacity to enter into a binding agreement.

  3. Account Registration

    To use Reflectra, you must create an account using a valid email address and password or via Google authentication.

    You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account. We reserve the right to suspend or terminate any account engaged in unauthorized or unlawful activity.

  4. Subscription Plans and Payments

    Reflectra offers three subscription tiers:

    • Free Plan: Basic journaling, limited AI suggestions, and a standard dashboard.
    • Pro Plan: USD $15/month or $9/month (billed annually). Includes unlimited journaling, advanced AI insights, and premium dashboard analytics.
    • Ultra Plan: USD $39/month or $24/month (billed annually). Includes all Pro features and unlimited AI questions (subject to fair-use conditions).

    Payments are processed through Stripe, our authorized third-party provider. All subscriptions automatically renew unless canceled. Users may cancel at any time through their account settings. No refunds are provided, except at our sole discretion. Prices are in U.S. dollars (USD).

  5. Use of Artificial Intelligence

    Reflectra uses AI technologies provided by OpenAI and other third-party providers to generate insights and suggestions. By using the Service, you acknowledge and consent that:

    • Your inputs (e.g., journal entries or prompts) may be transmitted to and processed by third-party AI systems located outside Switzerland or the European Union.
    • AI-generated outputs may be inaccurate, incomplete, biased, or inappropriate.
    • Reflectra makes no guarantees regarding the accuracy or suitability of AI-generated content and shall not be liable for any decisions or actions taken based on such content.
  6. Fair Use of Unlimited AI Requests

    The Ultra Plan includes access to “unlimited AI questions” under a fair-use policy. Users may generate a high number of AI prompts and responses, provided usage:

    • Remains within reasonable limits consistent with normal individual use;
    • Does not place excessive or abusive load on Reflectra’s infrastructure or providers;
    • Is not automated through bots, scripts, or external tools.

    Reflectra may limit, suspend, or terminate AI access if usage is deemed excessive or detrimental to the Service or other users. Unlimited access does not allow unrestricted commercial, automated, or bulk data generation.

  7. User Content and Ownership

    You retain full ownership of all journal entries and content created within Reflectra (“User Content”). By using the Service, you grant Reflectra a non-exclusive, worldwide, royalty-free license to store, display, and process your User Content solely to operate and improve the Service. Reflectra does not sell, publish, or share your personal content with third parties. You may request deletion of your account and data anytime at support@reflectra.io.

  8. Data Storage and Processing

    Reflectra stores user data using Supabase (database and authentication) and hosts the Service on Vercel. Data is stored in secure cloud environments (Switzerland/EU). AI requests are processed by OpenAI servers, which may be located in the United States. By using the Service, you explicitly consent to international data transfer as required under GDPR Article 49(1)(a).

  9. Privacy

    Reflectra complies with Swiss and European data protection laws, including the Swiss Federal Act on Data Protection (FADP) and GDPR. A detailed Privacy Policy is available on our website and governs our data collection, storage, and protection practices.

  10. Acceptable Use Policy

    You agree NOT to use Reflectra to:

    • Violate any laws or regulations;
    • Post, generate, or transmit unlawful, abusive, or harmful content;
    • Reverse-engineer, copy, resell, or redistribute any part of the Service;
    • Attempt to gain unauthorized access to any systems or data;
    • Use Reflectra’s AI outputs for commercial resale or redistribution without consent.

    We reserve the right to suspend or terminate accounts that violate this policy.

  11. Mental Health and Professional Disclaimer

    Reflectra is not a medical, psychological, or therapeutic tool. The Service is intended for personal reflection and information only. It does not provide diagnosis, treatment, or professional advice. If you require support, consult a qualified health professional. Reflectra and Tennex Meta consulting SA are not responsible for medical consequences resulting from use.

  12. Availability and Downtime

    Reflectra is hosted on Vercel and may experience interruptions or outages. We do not guarantee continuous operation. We may modify, suspend, or discontinue features or the Service without notice. Reflectra is not liable for loss or inconvenience from downtime or technical issues.

  13. Limitation of Liability

    To the maximum extent allowed by law:

    • Reflectra and Tennex Meta consulting SA are not liable for indirect, incidental, or punitive damages (including data loss, emotional distress, or financial loss).
    • Total liability shall be limited to the amount paid for the Service in the twelve (12) months prior to the claim.
  14. Intellectual Property

    All intellectual property in Reflectra’s platform, software, logos, and content (excluding User Content) is owned by Tennex Meta consulting SA. You may not copy, reproduce, or distribute any part of the Service without written consent.

  15. Termination

    You may delete your account anytime via your dashboard or at support@reflectra.io. Reflectra may suspend or terminate access for breach or harmful use. Upon termination, your license to use the Service ceases immediately.

  16. Modifications to Terms

    We may update these Terms periodically. For significant changes, you’ll be notified via email or in-app. Continued use after changes constitutes acceptance.

  17. Governing Law and Jurisdiction

    These Terms are governed by Swiss law. Disputes are subject to the exclusive jurisdiction of the courts of the Canton of Vaud, Switzerland.
